Summary of Job Responsibilities:

 

As a member of the Human Resources Operations (HR Ops) department, and reporting to the HR Ops Team Lead, the main responsibilities of the HR Operations Specialist will be to:

  • Deliver HR transactional processes that meet each function’s business needs with global standardization. These include administering benefit enrollment plans (including program support and administrative transactions), delivering employment benefits, processing claims, supporting the annual merit & bonus cycle, one-time payments, salary adjustments and corporate reward programs.
  • Support the relative stakeholders when audits and compliance reporting take place.
  • File for benefits, labor laws and legal requirements with escalation points to Total Rewards as applicable.
  • Ensure Service Partnership Agreements (SPAs) are met for all the catalogue processes of the HR Operations team.
  • Ensure the accuracy and completeness of end-to-end, standard processes and supporting documentation.
  • Ensure that the HR records and systems comply with applicable local, regional, and international Policy, Human Rights, Freedom of Information and Protection of Privacy, Employment/ Labor Laws, and all Legislative & Regulatory Standards.
  • Ensure that Cytel’s policies are adhered to (such as approvals, HR guidelines, etc.) and that all the appropriate controls are functioning as designed.
  • Support the adoption of current and new services provided by the service center.
  • Support the strategies focused on the enhancement of the HR Operations organizational capacity through technology and innovation to facilitate the continuous improvement of services.
  • Serve as an internal reference and expert for Total Rewards (compensation, benefits) for all the clients within their jurisdiction of countries.
  • Identify, discuss, and promote enhancements and improvement of services, work instructions, metrics, knowledge articles and additional resources within their area of expertise for daily operations and compliance.
  • Participate and support the Project/Client team discussions to ensure that all new services, enhancements and overall discussions meet both the HR Ops and the HR team requirements and are aligned with the HR Operations center strategy.
  • Guide and route the clients' and end-user feedback, concerns and requests regarding Total Rewards to the HR Operations leadership team to ensure that the Voice of the Customer is heard and taken into account. They will also support the implementation of actions decided by the HR Ops leadership team on this matter.

 

Qualifications and Experience:

 

  • Minimum Education: BSc or equivalent in Business Administration with a focus on Human Resource Management

 

  • Minimum Work Requirements:
  • Two (2) or more years of relative experience in Human Resources.
  • Functional knowledge of HR including employment, federal, state, and local laws.
  • Operational understanding of HR Systems.
  • Desirable experience in delivering HR transactional business services or shared services, process improvement and management of operational services delivery in HR.
  • Desirable experience in Service Delivery or business transformation projects – strategy and/or deployment.

 

  • Skills:
  • Fluent in English (French, German or Spanish is a plus).
  • Strong Customer Service Focus, for both internal & external customers.
  • Proactive, self-motivated, enthusiastic, goal and results-oriented.
  • Capable of working effectively in international teams, operating effectively within a matrix organization and with multi-disciplinary groups, and being an excellent team player with strong interpersonal skills contributing to building team spirit.
